How Does Online Emotional Safety & Resilience  (ES&R) Consulting Work?

 

Once we have an agreed service arrangement, including number of consulting sessions per employee - employees will be able to book an appointment (see below for instruction) in line with that agreement.

 

We use Microsoft Teams for online sessions.

 

A calendar invite will be sent to the employee, including a link to the Microsoft Teams meeting.

 

On the day and time of the appointment, they should:

  1. Open the email or calendar invite
  2. Click the Microsoft Teams meeting link
  3. Follow any prompts to access Microsoft Teams
  4. Wait to be admitted into the online video session

 

Important Notice to Employees:

It is essential that you are comfortable in your space and have complete privacy for your online therapy appointments to maintain the integrity of the therapeutic relationship. Sessions must not be attended while driving.

 

 

How Do our Employees book an Appointment?

Once an agreement between All Things Butterfly Pty Ltd and your Business have been finalised, a welcome email will be provided to eligible employees setting out the process.

 

Simply, they will use the 'Make a Booking' link here or on the landing page  and select calendar 'Employee ES&R Consultation' to schedule time with me.

 

 

What If an Employee Needs to Reschedule or Cancel?

When an appointment is booked, that time is reserved exclusively and is no longer available for others in need of support.

 

If cancellation or rescheduling is necessary, the employee can perform this task through their calendar entry using the link provided to manage the booking.

 

  • Minimum 24-hour notice is required for cancellations or rescheduling.
  • Non-attendance without 24-hour notice may incur a fee of 50% of the scheduled amount.

What the Employee can Expect in their First ES&R Consultation Session?

The first session will include:

 

  • Reviewing the Counselling Contract and the Privacy & Confidentiality Agreement.
  • A safe and confidential space to explore thoughts, feelings, and behaviours with a registered counsellor
  • Listening, support, and exploration to help clients better understand their experiences and challenges
  • Setting intention for ongoing work together

 

During the initial and ongoing sessions, the counsellor may ask questions about the client's life, goals, and challenges to provide meaningful support.

Support is tailored to each client's needs, personal style and wellbeing needs.


Counselling is a collaborative process—employees are encouraged to ask questions and express any concerns. The goal is to help them feel better and make positive changes in their life.

 

Recommended Scheduling for Emotional Safety & Resilience Consulting

Scheduling depends on business and personal requirements, but a recommended approach may consist of:

  • Ongoing weekly, fortnightly or monthly sessions – Ideal for employees in roles that inherently increase the risk of psychosocial harm, including vicarious trauma. This arrangement would ideally form part of the employee's Personal Development requirements.
  • Weekly sessions for a specific timeframe – Recommended for People Leaders or Employees participating in a complex HR process

 

 

Confidentiality 

As this program is engaged on behalf of the Employee by the Employer, it is acknowledged by all parties that this arrangement exists and therefore cannot be anonymous at that level.

 

Everything shared during counselling sessions is highly confidential. However, confidentiality may be broken under specific circumstances:

  • If the counsellor determines there is a serious risk of harm to the employee or others
  • If counselling records are legally requested by a court of law
  • If an employee provides written consent for their information to be shared with a third party

 

 

How Is Data Managed & Kept Secure?

  • Brief session notes are taken to track progress and stored digitally via Microsoft Office 365 Business software
  • All data is password protected and secured using Kaspersky system security
  • To comply with the ACA Code of Ethics and Practice, a client’s identity is stored separately from session notes

 

Employees are encouraged to discuss any concerns about data security with their counsellor.
